Creating a new internal landing page

Internal landing pages in BlueDocs are powerful organizational tools that help you create structured, visually appealing hubs for your content. This guide will walk you through the process of creating a new internal landing page using the Page Builder.

What is an Internal Landing Page?

An internal landing page is a custom page that serves as a central hub or gateway for organizing and presenting your documents, training materials, policies, and other content. Unlike external landing pages, these are only accessible to users within your organization and can be tailored to different teams, departments, or projects.

Getting Started

Prerequisites

  • You must have the appropriate permissions to create pages in your organization
  • Your BlueDocs subscription must include access to the Pages feature

Accessing the Page Builder

  1. Navigate to Pages: Click on "Pages" in the left sidebar navigation
  2. Start Creating: Click the "Add Page" button in the top-right corner of the Pages gallery
  3. Choose Location: If you want to create the page within a specific folder, navigate to that folder first before clicking "Add Page"

Step-by-Step Creation Process

1. Page Header Setup

When you first enter the Page Builder, you'll see the page configuration section:

Page Icon & Title

  • Click the icon selector (default is 📄) to choose an emoji or icon that represents your page
  • Enter a descriptive title in the "Page Title" field
  • The title should clearly indicate the page's purpose (e.g., "HR Resources Hub", "Engineering Onboarding", "Sales Training Center")

Page Description

  • Add a brief description that explains the purpose of the page
  • This description helps users understand what they'll find on the page
  • Keep it concise but informative

Cover Image

  • Optionally add a cover image to make your page more visually appealing
  • You can upload a custom image or choose from available stock images
  • The cover image appears at the top of your page

2. Page Status Configuration

Choose the appropriate status for your page:

  • Draft: Page is in development and not visible to most users
  • Published: Page is live and accessible to users with appropriate permissions
  • Archived: Page is no longer active but preserved for reference

Note: Depending on your organization's approval workflow settings, draft pages may require approval before publishing.

3. Visibility Settings (For Existing Pages)

If you're editing an existing page and have the appropriate permissions, you can configure:

  • Who can access the page (all users, specific roles, departments, or job titles)
  • Internal visibility controls to restrict access as needed

Building Your Page Content

Understanding Sections

Landing pages are organized into sections. Each section acts as a content block that can contain multiple documents:

  • Section Title: Give each section a clear, descriptive name
  • Section Description: Explain what users will find in this section
  • Document Slots: Each section can contain multiple "document slots" where you'll place your content

Adding Sections

  1. Default Section: Every new page starts with one empty section
  2. Add More Sections: Click "Add New Section" to create additional content blocks
  3. Section Organization: Arrange sections to create a logical flow of information

Configuring Document Slots

Within each section:

  1. Add Document Slots: Click "Add Document Slot" to create placeholders for your content
  2. Customize Slot Labels: Give each slot a descriptive name (e.g., "Getting Started Guide", "Policy Documents")
  3. Assign Documents: Click on a document slot to select and assign specific documents, training materials, or policies
  4. Remove Slots: Remove unnecessary slots using the remove button (minimum of one slot per section)

Best Practices for Internal Landing Pages

Content Organization

  • Group Related Content: Organize documents by topic, department, or workflow
  • Logical Flow: Arrange sections in the order users should consume the content
  • Clear Labels: Use descriptive titles for sections and document slots

Navigation Structure

  • Hierarchical Organization: Use folders to create a clear navigation structure
  • Consistent Naming: Follow a consistent naming convention for your pages
  • Strategic Placement: Consider where users will look for this content

User Experience

  • Purpose-Driven Design: Each page should serve a specific purpose or audience
  • Visual Hierarchy: Use cover images and icons to create visual interest
  • Accessibility: Ensure your page structure is logical and easy to navigate

Saving and Publishing

Saving Your Work

  • Click "Save Changes" (for existing pages) or "Create Page" (for new pages)
  • The system will validate your page structure and save all sections and document assignments
  • You'll receive confirmation when the save is successful

Publishing Workflow

  • If your page status is set to "Published" and no approval is required, it becomes immediately available
  • If approval is required, the page will be submitted for review before becoming available to users
  • You can continue editing draft pages without affecting the published version

Managing Your Landing Pages

After Creation

  • Access Your Page: Navigate to your new page from the Pages gallery
  • Edit Anytime: Click the edit button to make changes to structure or content
  • Monitor Usage: Check analytics to see how users interact with your landing page
  • Update Regularly: Keep content current by updating document assignments and sections

Organization and Maintenance

  • Folder Structure: Organize pages within folders for better management
  • Regular Reviews: Periodically review and update your landing pages
  • User Feedback: Gather feedback from users to improve page effectiveness

Common Use Cases

Internal landing pages work well for:

  • Department Hubs: Central location for all department-specific resources
  • Onboarding Centers: Structured introduction for new team members
  • Project Workspaces: Organized access to project-related documents
  • Training Portals: Curated learning paths and resources
  • Policy Centers: Centralized access to organizational policies
  • Resource Libraries: Organized collection of tools and references

Troubleshooting

Can't Create Pages: Verify you have the necessary permissions and your subscription includes Pages functionality

Page Not Saving: Check that you have a page title and at least one section with content

Content Not Appearing: Ensure documents are assigned to document slots and have appropriate visibility settings

Access Issues: Review page visibility settings and user permissions

Internal landing pages are powerful tools for organizing and presenting your organization's content in a user-friendly, structured format. Take time to plan your page structure and content organization to create the most effective user experience.
