Creating Training Documents & Modules

Training documents and modules in BlueDocs empower organizations to deliver structured, engaging learning experiences for employees across departments. Whether you're building a simple standalone training document or a multi-section module with progress tracking, BlueDocs provides the tools to educate and upskill your team efficiently.

This guide walks you through creating both training document types and configuring them for success.

🧠 Understanding Training Content Types

BlueDocs supports two primary formats for training content:

  1. Training Documents

These are standalone documents that convey educational information, how-tos, or procedural learning. They can be assigned to users individually and marked complete upon reading.

  1. Training Modules

Designed as structured, multi-part learning journeys, training modules support progress tracking per section. They allow for progressive engagement, making them ideal for onboarding or more complex educational paths.

📝 Creating Training Documents

Step 1: Navigate to the Training Hub

Begin by selecting “Training Hub” from the main sidebar navigation. Here, you’ll find tabs for Assigned, Available, and Completed training. To create a new item, click the “Create Training” button in the top-right corner.

Step 2: Select “Training Document” as the Type

From the document type selector, choose Training Document. This sets up a standard training doc ready for content input.

Step 3: Add Basic Document Info

  • Title: Choose a clear, descriptive title that makes the topic obvious.
  • Category: Assign a predefined category, or create a new one to help with content organization.
  • Status:

  • Draft: Use while creating or reviewing.
  • Published: Makes the document available for assignment or consumption.
  • Archived: Retains historical content without cluttering active training.

Step 4: Add Content with the Rich Text Editor

The editor supports a wide range of formatting tools:

  • Headings (H1, H2, H3) for content structure
  • Images and diagrams for visual explanation
  • Code Blocks with syntax highlighting for technical training
  • Tables for comparison or form-like layout
  • Bullet/Numbered Lists for steps and summaries
  • Links to external resources or other BlueDocs content

Step 5: Configure Document Settings

  • Cover Image: Add a banner or image that visually supports the content.
  • Folder Placement: Store the document in a logical folder based on team, topic, or learning path.
  • Version Management: BlueDocs automatically handles versioning whenever changes are saved.

🎓 Creating Training Modules

Step 1: Select “Training Module” as the Type

In the Training Hub, click “Create Training” and choose Training Module. This sets up a multi-section training experience with built-in progress tracking.

Step 2: Structure Modules Using Headings

Modules and sub-sections are created using headings:

  • H2 headings become module titles
  • H3 headings define sub-sections within those modules

Each module can be independently marked as complete by learners.

Example Module Breakdown:

# Course: Introduction to Project Management

## Module 1: Planning Fundamentals
Content, objectives, and examples...

## Module 2: Risk Assessment
Guidance on risk identification and mitigation...

## Module 3: Communication Techniques
Tips for improving internal and external team communication...

Step 3: Write Engaging Educational Content

Each section of your training module should:

  • Begin with objectives
  • Provide clear, instructional content
  • Offer real-world examples
  • Include interactive checklists or callouts
  • End with summary takeaways or assessments

Step 4: Add Interactive and Visual Elements

  • Use checklists for learning actions
  • Add code blocks where technical concepts apply
  • Insert images and diagrams for visual learning
  • Use tables to simplify complex data

🧩 Managing Module Content

Editing and Organization

Editors can:

  • Modify modules inline using the pencil icon
  • Drag-and-drop to reorder modules
  • Add or remove content easily within each section

Tracking Progress

  • Per-Module Tracking: Users check off each module as completed
  • Overall Progress Bar: Visual indicator of progress at the top
  • Assignment Sync: Completion is monitored in assignment reports

🗂 Organizing Training Materials

Using Folders

Training content should be stored in well-structured folders such as:

  • Training/Onboarding
  • Training/Compliance
  • Training/Technical Skills

Use nested folders for complex curriculums.

Categorizing Training

Categories make filtering and search easier:

  • Skill Development
  • Leadership Training
  • Product Knowledge
  • Compliance Essentials

Maintain consistency in naming and hierarchy across your content library.

🧭 Assigning and Managing Training

Assignment Flow

  1. Create the document or module
  2. Publish the training
  3. Assign to users via Assignment Management
  4. Track progress and completions
  5. Review engagement reports and update as needed

Assignments can be tied to specific roles, departments, or onboarding sequences.

🧠 Best Practices for Training Content

Content Design

  • Break large topics into digestible chunks
  • Be concise and use plain language
  • Use consistent formatting and structure
  • Add visual aids to support reading comprehension

Structuring Modules

  • Ensure a logical progression from basic to advanced concepts
  • Limit module length to reduce fatigue
  • Include assessments or quizzes if applicable
  • Align learning objectives with practical outcomes

Version Management

  • Maintain update logs and notes
  • Notify learners of significant updates
  • Archive outdated content
  • Schedule periodic reviews (e.g., every 6 months)

🧑‍🤝‍🧑 Collaboration and Sharing

  • Collaborate with SMEs by enabling edit access
  • Use draft status for peer review before publishing
  • Apply approval workflows for quality assurance
  • Leverage commenting for iterative improvements

Training content can also be shared externally (if permitted), and visibility can be limited by permissions and departments.
