Setting policy acknowledgment deadlines

Policy acknowledgment deadlines in BlueDocs ensure that team members review and confirm their understanding of critical policies within a specified timeframe. By assigning deadlines to policy acknowledgments, organizations can encourage timely compliance, reinforce accountability, and ensure important information is reviewed promptly. Deadlines can be configured with reminder notifications and are tracked automatically within the system.

How Policy Deadlines Work

When a policy has an assigned acknowledgment deadline:

Users receive a notification informing them of the required acknowledgment and due date.
The system tracks acknowledgment status and highlights overdue policies.
Administrators can view compliance metrics in reports and dashboards.
Automated reminders help ensure users complete acknowledgments on time.

Setting a Deadline When Creating a Policy

To set an acknowledgment deadline during policy creation:

Navigate to Policies: Go to the Policies section within your BlueDocs workspace.
Create New Policy: Click Create Policy or open an existing policy in edit mode.
Configure Deadline Settings:

Set a specific acknowledgment deadline date.
Enable reminder notifications if desired.
Configure how many days in advance reminders should be sent.

This ensures that from the moment a policy is published and assigned, users are aware of the deadline and are prompted accordingly.

Setting Deadlines for Existing Policies

For Individual Assignments

Go to Policy Management: Navigate to Settings → Assignment Management.
Find the Policy: Use search and filter tools to locate the relevant policy.
Set Due Date: When assigning the policy to a user, enter the desired due date for acknowledgment.
Confirm Assignment: The specified deadline is applied to all selected users.

For Bulk Assignments

Select Multiple Users: In the assignment dialog, select the users needing access.
Set Universal Deadline: Choose a single due date that will apply to all recipients.
Apply Assignment: Confirm and send the policy assignment with the defined deadline.

Managing Policy Deadlines

Viewing Deadline Status

Policy Cards: Show assigned deadlines directly on each policy's preview card.
User Dashboard: Users can view their assigned policies and respective due dates.
Admin Reports: Provide in-depth tracking of which users have acknowledged, who is overdue, and which deadlines are approaching.

Deadline Notifications

BlueDocs handles the following notifications automatically:

Initial assignment alerts with deadline details.
Reminder emails sent prior to the due date (configurable).
Overdue notifications if the deadline is missed.
Dashboard alerts for both users and administrators.

Best Practices

Setting Appropriate Deadlines

Critical Policies: Set shorter deadlines (3–7 days) for urgent compliance requirements.
General Policies: Allow 2–4 weeks for users to read and acknowledge more comprehensive policies.
Training-Related Policies: Account for the time needed to complete any associated training.

Communication Strategy

Include clear information about the deadline in the policy assignment message.
Enable reminder notifications to go out 3–5 days before the due date.
Have an internal process for escalating overdue acknowledgments.

Monitoring Compliance

Check policy acknowledgment reports on a weekly or monthly basis.
Monitor trends and progress by department or team.
Use reporting data to improve future deadline configurations.

Deadline Settings Configuration

Global Deadline Settings (Administrator Only)

Admins can configure system-wide defaults for:

Default Reminder Timing: How soon before deadlines users are reminded.
Escalation Rules: Define what actions to take when deadlines are missed.
Notification Preferences: Control who receives notifications about missed or upcoming deadlines.

Policy-Specific Settings

For each policy, administrators can adjust:

Acknowledgment Window: Duration users have to complete the acknowledgment.
Reminder Schedule: How often and when reminders are sent.
Grace Period: Optional time buffer after the official deadline.

Troubleshooting

Users Not Receiving Deadline Notifications

Check if user notification preferences are enabled.
Verify user email addresses are correct in their profiles.
Confirm the notification system is active and properly configured.

Recheck the deadline set during assignment.
Verify timezone settings if deadlines appear offset.
Ensure the user is viewing the correct version of the policy.
