What is BlueDocs' Subscription Model?


BlueDocs operates on a simple, transparent subscription model designed to scale with your organization's needs. Every new organization starts with a 14-day free trial that gives you full access to all features, followed by a straightforward monthly subscription.


Pricing Structure


Free Trial

  • Duration: 14 days from account creation
  • Features: Full access to all BlueDocs features
  • User Limit: No restrictions during trial
  • Payment Required: No credit card required to start


Monthly Subscription

  • Price: $6.00 per user per month
  • Billing: Charged monthly based on the number of users in your organization
  • Features: Complete access to all BlueDocs functionality
  • Minimum: Billed for actual number of organization members


Subscription Statuses


Your subscription can have several different statuses:


Active Statuses

  • Trial Active: You're within your 14-day free trial period
  • Active: Your paid subscription is current and all features are available


Inactive Statuses

  • Trial Expired: Your 14-day trial has ended and requires subscription activation
  • Past Due: Payment failed and needs to be updated to avoid service interruption
  • Canceled: Subscription was canceled and will end at the current billing period
  • Inactive: No active subscription or trial


Accessing Billing Information


Where to Find Billing Settings

  1. Navigate to Settings in your BlueDocs account
  2. Click on the Billing tab
  3. Here you'll see your subscription overview, payment methods, and billing details


Who Can Access Billing

  • Organization Admins: Full access to view and manage all billing information
  • Other Users: No access to billing information (permission-based restriction)


Managing Your Subscription


During Your Trial

While in your 14-day trial, you can:

  • Subscribe Early: Add a payment method and activate your subscription at any time
  • Extend Trial: If available, you can extend your trial by 3 additional days (one-time only)
  • Monitor Usage: View your current user count and projected monthly billing


Active Subscription Management

Once subscribed, you can:

  • Update Payment Methods: Change or add credit cards through Stripe's secure portal
  • View Invoices: Access and download past billing statements
  • Update Billing Address: Modify company information and billing address
  • Manage Billing Contacts: Add contacts to receive billing notifications
  • Cancel Subscription: Cancel anytime (service continues until end of billing period)
  • Reactivate: Restore a canceled subscription before it expires

Your billing overview shows:

  • Current subscription status with visual indicators
  • Number of user seats in your organization
  • Rate per seat ($6.00/month)
  • Projected monthly total

Trial Extension


What is Trial Extension?

BlueDocs offers a one-time trial extension of 3 additional days for organizations that need more time to evaluate the platform.


Eligibility

  • Available only once per organization
  • Must be requested before or shortly after trial expiration
  • Only available to organizations that haven't previously extended their trial


How to Extend

  1. Go to Settings > Billing
  2. Look for the "Extend Trial" button (if eligible)
  3. Click to activate your additional 3 days immediately


What Happens When Subscription Expires?


Trial Expiration

When your trial ends without an active subscription:

  • Access to BlueDocs is blocked
  • You're redirected to billing settings
  • All data remains safe and accessible once subscription is activated
  • Users see a "Trial Period Expired" message


Subscription Issues

If payment fails or subscription is canceled:

  • Users see appropriate status messages
  • Access is restricted until billing is resolved
  • Data integrity is maintained
  • Easy reactivation process available


Troubleshooting Common Issues


Can't Access Billing Settings

  • Cause: Only organization admins can access billing
  • Solution: Contact your organization admin or request admin privileges


Payment Failed

  • Status: Shows as "Past Due"
  • Solution: Update payment method through the billing portal
  • Impact: Service interruption warning, but immediate access to fix payment


Subscription Canceled by Mistake

  • Solution: Use the "Reactivate" button in billing settings before the end of your billing period
  • Timeline: Must reactivate before current billing period expires


Trial Extension Not Available

  • Cause: Already used one-time extension or subscription is active
  • Solution: Contact support if you need additional evaluation time
